Subject: HACSL: USE OF TOBACCO PRODUCTS ARE PROHIBITED
Coaches/Players:
There have been reports about players chewing tobacco - which is not tolerated in our League. As stated in the By Laws: Section II.C.1.J. “Are prohibited from using alcohol or tobacco products.” --and-- Section III.C 1. “Failure to follow the League by-laws or ASA rules for any reason may/can result in forfeiture of the game. Forfeiture of two (2) games within the season, by any team, may result in dismissal from the League.” --and-- Paragraph 4. “The use of tobacco products of any type (I.e., cigarettes, cigars, and chewing tobacco) before, during or after a game by players or coaches will not be tolerated.” Please share this information with your team. Any further violation(s) will result in game forfeiture, as stated above. Date: 5/15/2009
Subject: HACSL: AUTOMATED PHONE SYSTEM
The League would like to stress the importance of submitting the Automated Phone System (APS) form with the names of your players on it. The league has started utilizing this calling method so that each and every ball player receives a notice as to whether games are called off. Our old method of calling the 301-223-4556 number (Mike Kelbaugh's) is that his answering machine is not equipped to handle multiple callers at the same time. Also their has been a problem with creating messages on that answering machine. When Mike updates the messages (i.e., the games are rained out) and more than one person is calling his number simultaneously, the new message created is lost and the answering machine converts back to the previous message. Mike has attempted to resolve this problem with Verizon, but to no avail. So, if teams don't provide us with their completed APS forms, they will not know if a games is rained out. Using the APS is the best way to determine if games will be played. However, if teams don't get us their APS forms, their players will just have to come to park on rainy days to see if games are going to be played.

Subject: HACSL: Jerseys & Rosters, and Concession Stand Duties
Coaches/Players:
Three things which need attention:
1. Jerseys: From here on out if a player does not have a jersey - he/she cannot play! Coaches make sure you have enough jerseys for your entire team. If you don't have enough jerseys, make sure you borrow them from players who won't be playing and give them to those who are substituting so that they have one.
2. Rosters: There is about 11 teams who have not turned in rosters. These teams must turned in rosters before their next game is played!
3. Concession Stand Duties: Each team (should have) has received hard copies of the schedule. The schedule clearly shows when each team has concession stand duty. If you haven't received your copies, they can be picked up at concession stand. When a team fails to show up for concession stand duty, the League must pay for someone to take their place. This fee is $50 per person X three people or $150 per team. If your team is fined for not showing up for concession duties, that fine is to be paid before your next game or you will not be able to play.
Rules concerning the three topics above are contained in our by-laws. Most of the teams playing in our League have played for us before and are aware of these rules. If you don't know them, you should read them ASAP.
In running a Christian Sports Ministry, the League (and it's officers) try to have mercy and grace even though we have rules. Once mercy and grace is given and a team is allowed to bend the rules and (let's say) play without shirts, the League is then questioned by the opposite team - whom are going by the rules. This is then a no win situation. Please understand that we have these rules for a reason and we expect each team to do their best to following them. Date: 5/13/2009

Please be aware that the Rules and By-Laws have been amended to include:
Home Run Rule
a. A maximum of five (5) home runs per team are allowed in any single game.
b. Any home runs over the fence after the allowed 5 will be ruled as outs.

Attached is this year's flyer for the Sports Dinner. Please pass this on to your players and print it out and post a copy at your church or place of business. Remember that each team is responsible for selling 10 tickets and having at least 8 of those ticket holders attend the dinner. Dear Friends,
I just wanted to remind all of you about our Annual Sports Dinner which will be held on Monday evening, June 15th at 6:00 PM at Tri-state Fellowship.
There will be no games that evening so that all may attend. Our guest speakers will be: Luke Scott, who currently plays for the Baltimore Oriole and
Scott McGregor. Both spoke at last year's dinner. There is also a possibility that another Oriole will also sp eak, but that has not yet been confirmed.
Even though the tickets aren't printed and ready for distribution, I would like to urge you all to start "selling" your tickets now. Please take note of
Your team's and player's responsibilities as they pertain to this event:
According to our Rules and By-Laws, under paragraph II.
C. 1. “Coaches and Players, will participate in League activities such as the Annual sports Dinner.” --- and --- In Paragraphs V, A. Why we have the Event? This event is intended to bring all teams together for a night of Christian fellowship. As a League, this is one of the Most important things we do. It is a time for us to interact away from the ball field with our families and friends. It’s a time in which we can all come together and worship our Lord. It is also a time when, as in years past, individuals can claim Jesus as their Savior. What can be more important that bringing people to the Lord?
B. Tickets. All teams will be responsible for the sale of 10 tickets, and have at least eight (8) people in attendance. This is mandatory. The venue cost of tickets and guest speaker have yet to be determined. All monies from the sale of tickets will be due payable on a date prior to the dinner which will be announced by Sabrina Kelbaugh. Additional tickets will be available upon request.
C. Participation/Compliance. Teams who do not turn in their money by the appointed time and do not have eight (8) people attend the dinner will face a two game suspension, and if necessary, the regular season game schedule will be amended accordingly. This is an unfortunate situation to have to penalize teams for not meeting their agreed upon obligation, however, to ensure continuity as a League, it is necessary. Each team must realize that they are part of a bigger picture and all teams must comply with the league's by-laws.
Here's hoping we all can get our tickets sold early and into Sabrina so she is able to plan and organize the dinner without the stress of wondering if tickets

Subject: HACSL: Rule Changes
The Executive Committee has made the following rule changes:
Section III.B. Players Eligibility:
Change paragraph 1. Age restrictions to say:
"Players must be at least 14 years old and attend the sponsoring church at least twice a month. Teams must submit waivers for players between the ages of 14 and 18."
Change paragraph 6. Two-Team Churches to say:
a. Churches can put a second team in the league made up of older or less experienced players. The league would accept another team based on a “trust” system. The league will “trust” the church to be truthful in estimating the level of play the new team would be placed. If a church has “aged” players, but not enough to field another team, that church will have the option of merging those players with another church made up of “aged” players or merge with another church in a lower division. Churches must use the utmost of integrity when placing players in these categories.
b. Each team shall turn in a separate roster. Higher division teams cannot move players to their Lower division team. However, in emergencies, Lower division teams may move no more than two (2) players to their Upper division team. These players must be approved by the executive committee prior to their moving from team to team. Date: 4/30/2009

Will you please forward this message and the one below to all of your players.
We are concerned about not having enough people for our Basket Bingo (this Sunday), because we have only sold 48 tickets....and we still need to sell another 70. Since the catering is a fixed price for so many people, we cannot tell them to just prepare food for the number of tickets we sold. Therefore, the League will lose money because we'll have to pay for food which would have paid for itself if we had sold the number of tickets needed to fill our quota.
Will you also, stress to your players the importance of participating in these fundraisers. Our fundraisers go to help cover costs at the fairground's ball fields...something all of us benefit from. If money is not raised, it is very probable that these costs will be passed on to you. Surely you all know at least someone who would be interested in attending the Basket Bingo, and/or the Golf tournament.
We have 29 teams in the league this year. Even if each team only had 10 players that would be 290 players. If those players told at least two other persons about our fundraisers that would be 580 people who could potentially participate in some way.
Please, won't you consider attending Bingo - even if it is just for the meal alone?

Subject: HACSL: IMPORTANT MESSAGES FOR THE LEAGUE
Pizzas are being delivered tomorrow at 5 pm. In case of rain we will move to the other side of park under the grand stand where the mowers are stored. P LEASE if your team sold pizzas you need to be there to unload the truck. We have alot of pizzas being delivered. If you have not given a check for the pizzas it is due no later than tomorrow. Checks made out to the Hagerstown Area church softball league.
FUNDRAISERS: - proceeds go to keeping the upkeep and maintenance at the fairgrounds:
We still need Basket Sponsors for a $175.00 this also includes filling the baskets. We have 13 sponsored but I need 9 more. This might be something your team wants to split up with 4 or 5 players. Also, we also have more tickets to sell to the event, which includes a meal served by Leiters. Why not bring your family for lunch and fun playing bingo?
GOLF TOURNAMENT:
We still need teams for our Golf tournament on Monday, May 11th 8 am, at Black Rock Golf course.
